AI as a careful note-taker, not a decision-maker

We started Sentosa because we noticed that many Malaysian organisations were adopting AI tools in HR without written policies, without consulting legal counsel, and without telling employees what was happening. We wanted to offer a different way.

Our Story

Where Sentosa came from

Sentosa was set up in Kuala Lumpur in early 2022 by a small group of people with backgrounds in HR management, employment law, and enterprise technology consulting. The name came from a shared idea: that work should feel like a place of peace — a place where people are treated with care, where their data is handled honestly, and where technology serves the workforce rather than surveilling it.

In the first year, we spent most of our time listening. We sat with HR directors at mid-sized Malaysian companies across manufacturing, financial services, and professional services, and we asked them the same question: what part of your week is taken up by paperwork that a careful tool could handle — and what part requires your judgement, your experience, and your knowledge of your people? The answers were consistent and instructive.

Job description drafting, leave-policy summaries, exit interview note clustering — these tasks filled diaries and drained the energy of experienced HR professionals. Meanwhile, decisions about who to hire, how to handle a grievance, or whether a performance improvement plan was fair were the parts of the job that demanded human care. The boundary was clear. The tools being marketed at the time were not designed with that boundary in mind.

So we designed our services to work within that boundary. We do not offer software platforms. We offer a process: first understanding your situation, then setting up tools that support the paperwork side only, and then checking in regularly to make sure the boundary holds. Every engagement produces written documentation that you can show your legal team, your union representatives, and your board.

Today we work with organisations across the Klang Valley and Penang, and we have begun supporting clients in Johor Bahru. Our team has stayed small by design — we believe that advisory work at this level of sensitivity requires personal relationships, not account management.

Ravi's background is in enterprise data architecture and privacy compliance. He leads the technical configuration of all drafting assistant setups and writes the data flow documentation that accompanies each engagement.

Employment Law Advisor

Chui Fen advises on PDPA implications, collective agreement considerations, and the employment law context for each client. She has practiced employment law in Malaysia for eleven years and contributes to all written policy outputs.

Everything in writing

Every recommendation, data flow description, and usage guideline we produce is written down and belongs to you. Nothing is verbal-only.

PDPA alignment

Malaysia's Personal Data Protection Act 2010 informs every engagement. We note data handling implications before any tool is configured, and we revisit this during each quarterly audit.

Fairness awareness

We review AI outputs for patterns that might indicate systematic bias in hiring or promotion data — with explicit consent from the relevant stakeholders, and in a structured written report.

Workforce transparency

We prepare documentation that explains AI tool usage in plain language, suitable for sharing with employees, union representatives, and works councils.

No unapproved data use

We do not pass employee personal data to any system without a prior written data flow agreement signed by your organisation. This is a non-negotiable condition of every engagement.

ESG-ready outputs

Our stewardship reports are structured so they can support your organisation's ESG disclosure obligations, providing a clear and auditable record of AI governance decisions.

Our Approach

What we believe about AI and people at work

AI tools are good at pattern matching, text generation, and surfacing regularities in structured data. They are not good at reading the room in a redundancy consultation, understanding the history between two employees in a grievance, or knowing that a long-serving manager has been under personal strain that explains a dip in their performance data. HR work requires both kinds of capability. We support the first so your team has more time for the second.

We are also aware that AI in HR carries specific risks that do not exist in other business functions. Employee data is sensitive. Hiring and promotion decisions affect livelihoods. Biased training data can entrench existing inequalities in ways that are hard to detect after the fact. These are not hypothetical concerns — they are documented outcomes in organisations that moved quickly without adequate governance. Sentosa's work is shaped by that awareness.

We work with organisations in Malaysia because we understand the local context: the multilingual workplace, the requirements of the Employment Act 1955 and its recent amendments, the role of the Industrial Relations Act in unionised environments, and the particular expectations of Malaysian employees around privacy and managerial discretion. We do not apply a generic international framework and call it localisation. We work from the ground up, with your documents and your people.
